Terms & Conditions

For Members of AEPIK International Private Limited

1. Definitions

"AEPIK" means AEPIK International Private Limited, a company incorporated under the Companies Act, 2013, limited by shares.

"Applicant" refers to any person(s) applying for a membership plan with AEPIK.

"Member" or "Subscriber" means an individual whose membership application has been approved by AEPIK and in whose name the membership certificate or ID is issued after receipt of the required payment.

"Annual Maintenance Charges (AMC)" / "Annual Subscription Fees (ASF)" means the yearly maintenance or subscription charges decided by AEPIK, applicable to all members.

"International Exchange Fees" refers to additional fees, if any, payable for accessing AEPIK's international partner properties.

"Blackout Days" means high-demand dates such as festive periods, long weekends, Diwali week, and the Christmas–New Year season & any festival dates.

"Holiday Season" means all other dates not classified as Blackout Days.

"Membership Categories" include:

  • Gold: Access to up to 4-star properties
  • Platinum: Access to 4-star and selected 5-star properties
  • Epic: Access to 5-star, premium, and luxury category properties

AEPIK reserves the right to add, modify, or remove partner properties at any time without prior notice. The latest list is available on AEPIK's official website.

2. Application & Payment

  1. Membership applications must be submitted in AEPIK's prescribed format and will be processed only after receipt of the initial payment.
  2. AEPIK may allow instalment options through approved finance partners. Members opting for instalments must ensure timely payments as per their plan.
  3. The Admission Fee portion of the membership is non-refundable under all circumstances.
  4. Membership is governed by AEPIK's Terms & Conditions, as updated periodically on its official platforms.
  5. AEPIK reserves the right to accept or reject any application without explanation.
  6. All payments must be made directly in the name of AEPIK International Private Limited through approved payment methods only.
  7. No cash payments are to be made to sales or marketing staff. AEPIK shall not be liable for any unauthorized or personal transactions.
  8. Members will receive their Membership Kit, Welcome Letter, and Joining Form via registered email after activation. Hard copy requests may be processed upon payment of a nominal documentation charge.

3. Membership Usage Rules

  1. Each member is entitled to a specified number of vacation nights per year, as per their subscription plan.
  2. Accommodation will be provided in hotels, resorts, or equivalent establishments, depending on availability and the member's subscription category.
  3. Meal plans will be included or chargeable as per the subscription plan and room category.
  4. Occupancy: Up to 2 adults and 2 children (under 12 years) or 3 adults per room.
  5. Members may request bookings 15 to 90 days in advance, subject to availability.
  6. Unused nights may be carried forward based on AEPIK's current rollover policy.
  7. Members should make festival or peak season reservations at least 45–90 days in advance.
  8. Members cannot use membership during any declared festival or blackout period unless their plan includes such access.
  9. Bookings are confirmed strictly on a first-come, first-served basis.
  10. Members may gift or share vacation nights with prior written notice to AEPIK.
  11. Membership benefits become active only upon full payment and official activation approval by AEPIK.
  12. Travel Eligibility & Property Access: Members may travel within India or internationally as per their plan. AEPIK will provide reservations at any associated hotel, resort, or destination that falls under AEPIK's tie-up locations. If no partner property is available on selected dates, AEPIK will suggest the best available alternative or allow the member to modify travel dates.

4. Booking Process

  1. All bookings must be made through AEPIK's official channels.
  2. Confirmation is subject to property availability and approval.
  3. Once confirmed, bookings cannot be cancelled, modified, or transferred. Unused days will be considered availed.
  4. Bookings are not allowed during Blackout Days unless permitted.
  5. AEPIK is not responsible for delays due to disasters, pandemics, government restrictions, or force majeure.
  6. Members must present valid KYC documents at check-in as per law.

5. Annual Maintenance / Subscription

  1. Members must pay an annual maintenance/subscription charge.
  2. This charge is mandatory every year, regardless of usage.
  3. Late or non-payment may result in suspension or termination.
  4. AEPIK may revise these charges without prior notice.

6. Cancellation & Refund Policy

  1. Before Activation: Refund requests may be allowed before membership activation, subject to AEPIK's approval.
  2. After Activation — Non-Refundable: Once activated, all payments become strictly non-refundable.
  3. Company Non-Performance Exception: In rare cases, refund requests may be approved based on verification.
  4. Refund Terms: Approved refunds deduct the value of last availed service. Processing time: up to 90 working days.
  5. No Claims After Activation: No refunds allowed after usage or activation.
  6. AEPIK may terminate memberships for misuse or policy breach without refund.

7. Taxes

All applicable taxes must be borne by the member. Non-payment may result in suspension of membership.

8. General Conditions

  1. Membership benefits are limited to what is specified in AEPIK's official communication.
  2. Services such as meals, transport, sightseeing are not included unless mentioned.
  3. AEPIK may modify Terms without notice. Latest version applies.
  4. Only communication from AEPIK's verified channels is official.
  5. Members join voluntarily after reviewing Terms fully.
  6. AEPIK is not liable for third-party service issues.

9. Indemnity

  • Accidents or injuries during travel or stay.
  • Misuse of membership or misconduct.
  • Issues caused by partner hotels or third-party vendors.
  • Events beyond AEPIK's reasonable control.

10. Dispute Resolution

  • Members must first contact AEPIK Customer Support for resolution.
  • Unresolved disputes will be referred to arbitration in Ahmedabad.
  • The arbitrator's decision is final and binding.

11. Jurisdiction

  • All matters are governed by the laws of India.
  • Ahmedabad courts have exclusive jurisdiction.

By enrolling as a member of AEPIK International Private Limited, you acknowledge that you have read, understood, and accepted these Terms & Conditions in full.
